1. Who We Are

Embrun Total Fitness is a 24/7 community gym at 5 Forget St, Embrun, ON K0A 1W0. You can reach us at 613-443-4040 or info@embruntotalfitness.com. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

Our website is built, hosted, and maintained on our behalf by CinnTech Ltd. (cinntech.com), an Eastern Ontario IT company. CinnTech acts as our service provider and only handles website data as described in this policy.

2. Information We Collect

Information you give us directly:

• Contact form: your name, email address, phone number (optional), the type of inquiry, and your message.
• Anything else you send us by email, phone, or in person.

Information collected automatically when you visit:

• Standard server logs: IP address, browser type, pages requested, date and time. These are used for security and to keep the site running.
• Bot protection: our forms use Cloudflare Turnstile, which checks that a submission comes from a person and may process your IP address and browser signals to do so.
• Analytics: if and when website analytics are enabled, we use aggregate page-view data to understand how the site is used. We do not use analytics to identify individual visitors.

We do not collect payment card details on this website. Membership signup, billing, contracts, and waivers are completed through GymMaster, our membership platform, under its own terms and privacy policy. The same applies to the Embrun Total Fitness member app, which is provided by GymMaster.

3. How We Use Your Information

• To answer your questions and follow up on membership, personal training, and other inquiries.
• To connect you with a trainer when you ask about personal training.
• To keep the website secure, prevent abuse, and diagnose problems.
• To meet legal obligations.

We do not sell, rent, or trade your personal information, and we do not use it for third-party advertising.

4. Who We Share It With

We share personal information only with service providers that help us run the website, and only as needed for that purpose:

• CinnTech Ltd.: website development, hosting, and maintenance.
• Resend: delivery of contact form emails (United States).
• Cloudflare: bot protection on forms and related network services.
• GymMaster: membership management, payments, and the member app, under its own privacy policy.

Some of these providers store or process data outside Canada, where it may be subject to the laws of that country. We may also disclose information where required by law or to protect our rights, our members, or the public.

5. Cookies and Local Storage

This website does not set tracking cookies of its own. Cloudflare Turnstile and, if enabled, analytics may set their own cookies as part of providing their service. You can clear or block cookies and site data in your browser settings.

6. How Long We Keep It

• Contact form emails: kept as long as needed to respond and for reasonable follow-up, then deleted in the ordinary course of managing our inbox.
• Server logs: retained for a limited period for security purposes.
• Analytics: aggregate data only, per the analytics provider's retention settings.

7. Your Rights

Under PIPEDA you can ask what personal information we hold about you, request a correction, or withdraw your consent to our use of it (subject to legal or contractual limits). Send any request to the contact details below and we will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

8. Children

This website is not directed at children under 13, and we do not knowingly collect their information online. Memberships for minors are set up in person with a parent or guardian.

9. Security

The website is served over HTTPS, form submissions are rate-limited and bot-checked, and access to the server and email accounts is restricted to the people who need it. No system is perfectly secure, so please use the contact details below rather than web forms for anything sensitive.

10. Changes to This Policy

We may update this policy from time to time. The date at the top shows when it was last revised, and the current version will always be posted on this page.
